A new vacancy exists within the Legal Department for Corporate Governance Apprentice undertaking a Business Administration apprenticeship course (Level 3).
Purpose of post:
- To provide administrative support to the SMMT Company Secretariat and Legal Department
- To provide secretarial support to the Legal Committee, Finance Board and the SMMT Charitable Trust Fund
- To liaise with and respond to enquiries from internal and external colleagues and stakeholders
- To assist with ad hoc projects and the development of the Company Secretariat function
Qualifications / Skills / Attributes required by job holder:

- Educated to A-level or equivalent
- Confident and articulate, with good communication skills and a keen eye for detail
- Highly motivated with good interpersonal skills and ability to form excellent working relationships
- Organised, with ability to multi-task and work under pressure to meet tight deadlines
- Reliable, positive and enthusiastic team player with strong sense of shared objectives and goals
- Self-starter with a pro-active approach, a strong sense of initiative and ability to work independently
- Proficiency in MS Word, Excel, PowerPoint, Outlook and Internet
- Flexible, and willing to get involved with ad hoc and sometimes short notice requirements
- A keen interest in developing business support skills, and particular interest in Corporate Governance
Main duties include:
General company secretarial administration, including:

- Maintaining the corporate calendar
- Drafting / issuing circulars
- Assisting with company insurance policies enquiries and renewals
- Assistance with financial audits
- Drafting reports and records as required
- Assisting with committee terms of reference maintenance and reviews
- Updating briefing and director’s packs for the corporate and trustee roles
- Monitoring the Company Secretariat mailbox
- Maintaining statutory and company secretarial registers and records
- Maintaining and filing appointments as appropriate
- Filing statutory forms with Companies House
Board and Committee meeting administration, including:
- Maintaining actions and planners
- Issuing notices and invitations
- Producing meeting packs
- Assisting with meeting logistics
- Minuting some committee meetings
Wider / Legal department administration as required, including:
- Maintaining a register of principal contracts across the SMMT group
- Providing administrative support to the Legal Department as required
- Updating CRM records
- Responding to colleague and external communications
- Assisting with other ad hoc duties / projects as required.
